Position title: Office manager/Receptionist

Salary Market: Related
Location: Forest Town, Johannesburg
Responsible to: Group Financial Controller
Contractual Status: Permanent, full time
Subject to: 3 month probationary period
Role Summary: The incumbent will be responsible for receptionist duties and well as the general management and administration of the Johannesburg office

Key Relationships:
• Staff – JHB and CT offices and warehouses
• Customers
• Suppliers
• Visitors

Key Responsibilities, Tasks and Activities:
• General management of the reception area and keeping it clean and free of clutter
• Answering the telephone, taking messages, directing calls
• Welcoming visitors, seating them and offering them refreshments
• Arranging refreshments for meetings when requested (snacks, lunch & drinks) and ensuring the Board rooms are set up for said meetings
• Maintaining a calendar for the booking of Board rooms
• Planning and execution of monthly social gatherings
• Ordering of office groceries and stationery and taking delivery thereof
• Taking delivery of stock
• Booking of individual staff travel within company policies and procedures
• Courier of documents
• Handling of queries relating to neighbouring tenants
• Handling of office security and utilities requirements
• Following up with debtors and creditors for the individual companies within the group regarding payment/documentation

Applicant Specifications:

Experience: At least 2 years’ experience in office administration
Skills and Qualifications
• Minimum of Grade 12 with English as a subject
• Energetic personality and an ever-present willingness to help, learn and improve
• Excellent elocution and deportment
• Pro-activeness
• An interest in sports would be beneficial
